What to inspect
Check which components may be replaced, whether refinishing is proposed, and what happens to removed parts under the provider’s policy. Ask about additional findings that could change the price or work.
A practical workflow
Send clear written instructions about work you authorize or decline, subject to the provider’s available service terms. Keep the approved estimate and later amendments. Ask for the final report to distinguish completed work from recommendations.
When to pause or proceed
Do not assume silence means the provider will preserve every component or avoid polishing. If a condition matters to your collection, discuss it before authorizing the job.
Worked example
Imagine the estimate includes case refinishing alongside a mechanical repair. Ask whether those can be separated and record your decision, rather than discovering the cosmetic change on collection.

Wording you can adapt
Use this for the relevant contact or as a private task note. Replace bracketed fields with accurate details and send sensitive records only through an appropriate secure channel.
Please separate the proposed functional repairs, cosmetic work, and component replacements in the estimate. Confirm the removed-part policy and how you will obtain approval for additional findings. My approval applies to the listed scope only; please retain this instruction with the job and distinguish completed work from recommendations in the final report.
Your working record
Copy these fields into a private note. For each entry, add the source file or contact, the date checked, and anything still unresolved. Leave unknown information marked unknown; do not guess to complete the sheet.

Make the handover record useful to the next person
A custody record should let someone identify the watch, understand why another person has it, and locate the agreed return arrangement. Record the visible condition and included items when the handover happens. If the watch later comes back with a different strap, component, or document, the earlier record gives both parties something concrete to compare. An informal promise can be difficult to reconstruct after staff or circumstances change.
Use a private inventory with an identifier for each watch, current custodian, reason for movement, and next action. Keep backups separately from the watches. Review entries after a service, sale, loan, or trip instead of only when something goes wrong. Share only the fields a recipient needs; an inspection appointment does not usually require access to the entire collection or the location of every item.
Follow the manufacturer’s instructions for operation and maintenance. These guides cover documentation and handovers, not repair procedures, security-system design, or assurances that a particular storage location prevents theft.
Can I demand all old parts back?
Provider policies and service arrangements vary. Ask before approval and make your decision with that information; do not assume every workshop or manufacturer returns replaced components.
Sources and scope
The sources below support the general principles for this topic. The workflow and hypothetical example are MyStolenWatch’s practical synthesis; the sources do not endorse this guide or verify a particular watch. Consult current provider terms before acting.

US insurance guidance on valuations, documentation, and checking the actual policy. It does not establish cover for your watch.

Manufacturer guidance illustrates why maintenance instructions depend on the model. Use the instructions for your own watch.
Check a watch serial number
A MyStolenWatch search checks reports held in this database. A no-match result does not certify authenticity, ownership, or an absence of theft elsewhere. Check current pricing before purchasing a search.
